We are currently looking at hiring a RECEPTIONIST as well as supporting them through a traineeship - Certificate 3 in business administration. You will be mentored by our experienced administrative and receptionist team.
22.5-hour week, As well as the ability cover other staff members when on leave.
· Monday 12pm - 8pm (7.5 hours)
· Tuesday 12pm - 8pm (7.5 hours)
· Wednesday12pm - 8pm (7.5 hours)
You will need to complete a certificate III in Business Administration, while working with us. This course is currently subsidised by the government, and it is a good opportunity to gain a formal qualification and apply the skills and knowledge straight away in a paid working capacity.
· Excellent customer service and confident communication skills over the phone and in person
· Manage the daily operational requirements of running a busy physiotherapy clinic, supporting the therapists and their patients.
· Converting phone enquiries into bookings
· Explaining our services and triage to the correct physiotherapist
· Trained to navigate technology and social media, ie. creating posts, and following up on enquires, using email and our cloud-based patient management system.
· Greeting patients
· Phone and email communication with patients, therapist, work cover, insurance companies, suppliers, and local businesses
· General reception duties - appointment scheduling, processing payments (Medicare, HICAPS, eftpos Machines)
· Administrative support to all physiotherapists (printing off letters, meeting minute taking, Pilates classes planning)
· Organising Pilates and yoga classes (timetable, marketing, waitlist management)
· General office duties (tidying front office and treatment rooms, scanning, printing faxing)
· Office cleaning (vacuuming, wiping front glass door, equipment cleaning)
· Social media/marketing (website, Instagram, Facebook page management)
· Previous reception experience in any office/clinic environment preferred but training will be provided for the right applicant
· Experience using practice management systems such as Cliniko, and accounting management systems such as Xero is an advantage
· Data entry
· Ability to multitask, problem solve and have great organisational skills
· Excellent communication skills (phone and face to face)
· Efficient computer skills, internet skills and keyboard skills (you can deal with technology!)
· Ability to show compassion for our scope of physiotherapy (we are specialised women’s health physiotherapist with sensitive patient concerns)
· Professional presentation
· You must be comfortable with & around babies (support can be required occasionally for our patients during their appointments)
Hourly rate: up to $26-$28/hour
